How it works

How roles and permissions work

What Admin, Power User and User mean, where you can see your role, and the two things the app limits by role today.

Every person in an organization has one role: Admin, Power User or User. The role is set when someone is invited. Roles only matter once an organization has more than one person, which needs the Gold plan. On Silver there is one person, and that person is the Admin.

These are the descriptions the app shows when an Admin invites someone and when the invited person opens the invitation.

Role How the app describes it
Admin Full access. Create work, approve change orders, manage budgets, and invite and manage team members.
Power User Create work and submit changes for approval. Create and manage projects, deals and properties, submit change orders, and view all organization data.
User Can edit like a Power User, but can’t approve change orders.

Your own role appears as a badge on your profile in Settings.

Two things change on screen depending on your role.

Approving change orders is Admin-only. The app blocks anyone else from approving or rejecting one. On a project’s Change Orders tab, the Approve column and the approve and reject actions appear only for an Admin. A Power User can create a change order and submit it for approval, then wait for an Admin to decide. An approved change order adds to the project’s budget. See How your project budget is calculated.

The Team section is Admin-only. The Team link in Settings and its Team Seats card, member list and Invite Member button are shown only to an Admin. Power Users and Users do not see it.

An Admin can invite someone as any of the three roles, resend an invitation and revoke one that has not been accepted.

  • Inviting someone uses a seat until they accept or you revoke the invitation. Gold includes up to 5 seats.
  • A role is chosen at invitation. If someone needs a different role, ask your Admin.
  • When someone accepts, they see the organization name, the email they were invited under, their role and its permissions before they create their account. They have 7 days to accept.
  • A Power User can submit a change order but cannot approve their own. If you are on Silver you are the only person, so you submit and approve your own.
  • Roles are about people on your team. They are not related to the Deal Score or to your plan.
